Privacy policy
Effective 20 October 2026
SchoolJot helps schools, teachers and parents stay in touch. This policy explains, in plain language, what personal data we handle, why, who helps us, how long we keep it, and the choices you have.
1. Who we are
SchoolJot is provided by SchoolJot Tech Pvt Ltd ("SchoolJot", "we", "us"), Hyderabad, Telangana, India. This policy covers the SchoolJot apps for iPhone and Android and our websites (schooljot.com and its sub-domains).
2. Schools and SchoolJot
SchoolJot is used by schools. A school decides to use SchoolJot and creates the accounts for its staff and parents — you cannot sign up on your own. The school also decides what information about its students, classes and staff is entered.
For that school information, the school is responsible for how it is collected and used, and we process it on the school's behalf and on its instructions. For your account and your use of the apps, we are responsible as described in this policy. If you have a question about information your school entered, you can contact your school or us.
3. What we collect
Account information
- Your name, email address and/or mobile number, given to us by your school.
- Your role (for example parent or teacher), your school, and any optional profile details you add, such as a display name or designation.
- Your app preferences, such as language and notification settings.
School and class information
- Information about students entered by the school or teachers: name, class, attendance, report cards, portfolio items and photos shared with the class.
- Which parents are linked to which children.
What you share in the app
- Posts, announcements, messages, comments and reactions.
- Photos and files you attach, absence and pickup requests, and parent-teacher meeting bookings.
Device and sign-in information
- A push-notification token so we can send you notifications, and basic device details (model, operating system and app version).
- Sign-in records — when you signed in, and the IP address and device information of each signed-in session — used to keep your account secure.
- Technical logs used to keep the service running and secure.
Permissions on your phone
The app only asks when you use a feature: the camera and photo library to attach a picture, the calendar to add a booked meeting (it never reads your existing events), notifications to alert you, and Face ID or your device passcode to lock the app. Biometric data never leaves your phone; we never receive it.
4. How we use it
- To run SchoolJot — show you your school's updates, deliver messages and notifications, and keep class records the school shares with you.
- To sign you in and keep your account safe — send one-time sign-in codes, verify your phone number, detect misuse and protect sessions.
- For optional helper features — summarise class updates for parents, suggest clearer wording for a teacher's draft ("Refine"), and translate posts. Only the text needed for that result is sent to the provider, and only when the feature is used.
- To support you — answer your questions and fix problems.
- To meet legal obligations — where the law requires it.
5. Who processes it for us
We share personal data only with service providers who help us run SchoolJot, only for the purpose listed, and under contracts that require them to protect it. Some of them may process data outside India.
| Provider | What they do for us |
|---|---|
| DigitalOcean | Hosting, database and file storage (data centre in Bangalore, India) |
| Cloudflare | Delivering our websites |
| MSG91 | Sending sign-in codes by SMS and email |
| Google (Firebase) | Verifying mobile numbers by SMS; Android notifications |
| Apple | iPhone notifications; Sign in with Apple (if you choose it) |
| Google, Microsoft | Signing in with your Google or Microsoft account (if you choose it) |
| Google (Gemini) | Class summaries for parents |
| Groq | "Refine" wording suggestions for teachers |
| Microsoft (Azure AI Translator) | Translating posts into your language |
We may also disclose information if the law requires it, or to protect the safety of our users and the service.
6. Children's information
SchoolJot accounts are for adults — parents, guardians, teachers and school staff. Children do not sign in. Information about children is entered by their school and is shown only to the people the school allows, such as the child's teachers and linked parents. If something about your child is wrong, ask your school to correct it, or contact us and we will pass it on.
7. How long we keep it
- We keep your account information while your account is active and your school uses SchoolJot.
- When you delete your account, you are signed out everywhere at once, and your name, email address, phone number and profile details are removed within 30 days.
- Posts and messages you shared with your school stay with the school, so class records remain complete, but they no longer show your name.
- Sign-in codes expire within minutes. Security logs are kept only as long as needed to protect the service.
8. How we protect it
Data travels encrypted (HTTPS). Each school's data is separated from other schools' at the database level. Sign-in and confirmation codes are stored only in scrambled (hashed) form. Access by our team is limited to what is needed to run and support the service. No system is perfectly secure, but we work to protect your data and will tell you and the authorities if a breach affects you, as the law requires.
9. Your rights
Under India's Digital Personal Data Protection Act, 2023 and other applicable laws, you can ask to:
- see a summary of the personal data we hold about you and how it is used;
- correct or update it (you can edit your profile in the app);
- erase it (see Deleting your account);
- nominate someone to act for you if you die or cannot act yourself;
- raise a grievance with us, and then with the Data Protection Board of India.
Email support@schooljot.com from the address on your account. We may need to confirm it's you before acting.
10. Deleting your account
In the app: open your profile from the top-right corner, scroll down, tap Delete account, and confirm with the code we send you. You can also follow the steps on schooljot.com/delete-account.
11. Changes to this policy
If we change this policy, we will update the effective date above, and for important changes we will tell you in the app before they apply.
